Defining Contact Synchronization Preferences

UDA ContactSync offers a multitude of options in the QuickSync form that give you full control over how contacts are imported and exported between ConstructionSuite, Microsoft Outlook, and QuickBooks.  

Define contact synchronization preferences

  1. Open ConstructionSuite by clicking the desktop icon or by going to  Start > Programs > UDA Technologies > UDA ConstructionSuite 2007.

  2. On the main interface, open ContactSync by going to Data > Sync > ContactSync. The QuickSync form will open.

  3. Use the checkboxes under Sync With to select which programs you would like to synchronize contacts with. You can synchronize with  Microsoft Office and/or Intuit QuickBooks.

  4. Designate a Prompt preference.

Select Inform me only when sync is complete if you do not want to approve contact changes throughout the synchronization.

Select Prompt me to approve changes if you want to be notified each time a change is made to your contacts or if you want to categorize contacts being exported to QuickBooks. To learn more about approving changes, see Approving ContactSync Changes.

WARNING: QuickBooks has four types of contacts: Vendors, Customers, Employees, and Others. If you are synchronizing contacts betwee ConstructionSuite and QuickBooks, select Prompt me to approve changes so you will be able to categorize contacts before they are imported into QuickBooks. If you do not assign a contact category to new contacts being added to QuickBooks, they will be imported as OtherName, and you will have to manually assign a category in QuickBooks.   1. If you would like to schedule a regular synchronization, set schedule frequency using the options under Schedule a Sync.

No scheduled syncs means that you must perform manual synchronizations.

Sync once a day will activate the Time drop-down menu, enabling you to select a time of day to synchronize. Choose a time from the menu.

Sync once a week will activate both the Time and Day drop-down menus, enabling you to select a time of day and day of the week. Use both drop-down menus to set your preference.

  1. Set Privacy Options.

Include Private Outlook Contacts will include Outlook contacts marked as private in the synchronization.

Ignore Private Contacts will not synchronize Outlook contacts marked as private.

  1. Designate Write Options.

Multidirectional sync of contacts will add and update contacts between all selected programs.  

Import contacts into your database will import contacts and their associated information from the selected program(s) into your database.

Export contacts from your database will export contacts and their associated information from your database into the selected program(s).

  1. Designate Comparison Options.

Most recently edited has priority will use the most recent contact information to overwrite an older contact entry in all of the program(s).

Your database has priority will give priority to contacts in your database and will overwrite contact information in the other program(s) without regard to which entry was edited most recently .

Outside database has priority will give priority to contacts in the other programs and will overwrite contact information in your computer without regard to which entry was edited most recently.

  1. Click Save to save your preferences. The QuickSync form will close.  If you scheduled a synchronization, it will occur on the next schedule date or time.
