UDA ProjectSync is a powerful tool that's used to keep everyone up-to-date on project-related information. However, for day-to-day information sharing, it's best to designate a single primary database that all of your employees utilize. That way, information that isn't directly linked to projects such as items in the Items Database and non-project-related Contacts, Activities, Certificates, Reminders, and To Do list items can be accessed by everyone on the network.
For database sharing to work successfully, you must have either a peer-to-peer network or dedicated server in your office. The computer with the primary database must be powered on, but ConstructionSuite does not have to be running.
To share a database, you must designate a computer to host the primary database, then create a login for each user who will need to access the database.
Decide which computer you would like to designate as the primary database.
Open ConstructionSuite on that computer by clicking the desktop icon or by going to Start > Programs > UDA Technologies > UDA ConstructionSuite 2007.
On the main interface, go to Tools > Configuration > User Configuration.
Click the [add new] link in the list to open the User Information window.
Enter a Username and a Password. Verify the password.
Designate an access level: User or Administrator. An administrator can force check-in a file if it is opened by another user. To learn more about Check In/Check Out, see Managing Files with Check In / Check Out
Enter a First and Last Name for the user.
Click OK.
Use the Add, Edit, and Delete buttons on the User Configuration window to make the appropriate changes.
Click OK when done.
NOTE: The number of users that can log into a single database varies depending on your version and number of purchased licenses. To purchase additional licenses, contact a UDA representative at 1.800.700.8321.
Once users have a username and password, they can log into the primary computer when opening UDA ConstructionSuite.
Open ConstructionSuite on that computer by clicking the desktop icon or by going to Start > Programs > UDA Technologies > UDA ConstructionSuite 2007.
On the login screen, enter the Username and Password for the primary database.
Click the Server> button on the right.
Use the drop-down menu to select the primary computer's name from the list.
Click OK.
The computer is now logged in to the primary database. The name of the primary computer will appear in the top right of the interface, in the Server section.
NOTE: If you need to switch to another database and are currently logged into ConstructionSuite, you can click the arrow next to the server name in the top right corner of the Interface. Click Yes to confirm change, and then follow the instructions above to log in to another database.
