Setting Reminders in Scheduling

Keep your project on track with Scheduling Reminders. Among the leading causes of project delays are missing materials, late workers, and miscommunication. Protect yourself from these and other unforeseen delays by using the powerful, new reminder features in UDA Scheduling.

New features for reminders enable you to create multiple custom reminders, customize reminder messages to fit your project needs, automatically notify resources of upcoming events, and quickly set reminders for multiple subtasks.

& NOTE: Before reminders can be set, you must save the schedule. This ensures that all schedule Activities are recorded in the database.

Set planning or start reminders in a schedule

  1. In an open schedule, click in the Reminders column for a subtask. If the Reminders column is not in view, go to View > Show/Hide Columns. and select Reminders on the list.

  2. Click the Planning Reminder or Start Reminder tab.

  3. Use the drop-down menu to select desired time frame.

  4. Click and type in the Reminder Preview window to customize the reminder message.

  5. Use the checkboxes below the preview pane to select how you want to be reminded.

Popup Message will show your reminder in a window at the designated time.

Email to Resource will automatically email the reminder to the assigned resource if that person has a valid email address stored in the ConstructionSuite system.

  1. Click OK when finished. The number of reminders you have set for that subtask will appear in the Reminders column.

Set custom reminders

In addition to Planning and Start Reminders, UDA Scheduling enables you to set Custom Reminders. While other reminders can be set for a particular time frame before the task begins, Custom Reminders have the added features of being able to be set for a specific date and a specific time.

  1. In an open schedule, click in the Reminders column for a subtask. If the Reminders column is not in view, go to View > Show/Hide Columns.

  2. Click the Advanced tab. Any reminders that are set for the subtask will be shown.

  3. Click [add new] under Custom Reminders in the list.

  4. Select a Reminder Date & Time. Use the first option to be reminded a certain number of days or weeks before the start date of the task, or use the second option to select a particular date from the calendar. Select a time from the drop-down menu.

  5. Use the checkboxes below the preview pane to select how you want to be reminded.

Set a reminder for multiple subtasks

Save time by setting reminders for multiple tasks simultaneously.

  1. With any subtask selected in an open schedule, go to Scheduling > Set Reminder.

  2. Click the Multiple Reminders button at the bottom of the window.

  3. In the Set Multiple Reminders window, select the time frame and time of day for your reminders.

  4. Choose a Reminder Type: Planning Reminder, Starting Reminder, or Custom Reminder.

  5. Edit the Reminder Message, if desired. Words in all caps that are enclosed in angular brackets such as <SUBJECT> are active fields that will automatically fill according to each subtask's properties.

  6. Use the checkboxes to select which subtasks you would like to set a reminder for.

  7. Click OK when finished.
